    Consider the best times to collect money from Athletes/Parents. Not at the start of school or just before School Holidays, Easter or Christmas

  • Group Team travel vs. Each person booking Single Tickets:
    Instant-purchase, sometimes non-refundable and fully paid upfront
    Some members of the team cannot afford to do this.
    In the event of a flight cancellation or delay the person may not arrive on time.
    Needing to collect all the different flight's details to add in Transfers as part of Stay & Play Packages

  • Group Bookings:
    Most Airlines & Hotels have a Groups Department.
    Flexibility with payments, no need to give names straight away and cancellation options
    You can do this direct with Airlines/Hotels or use a licensed Travel Agent and also someone who has experience. 

  • Does the Hotel need an Adult per room?

    Team arrangements may affect if you need more parents to join on the trip.

  • Does the Hotel requires a credit card for each room?

  • Is the Hotel taking a bond on arrival per room ?

  • Stay & Play Packages?

  • How does the currency convert at the time of payment?

  • Can you understand what the amount is for parents to pay?

  • How is the payment done and also taken, e.g., some stay & play in the USA will receive a credit card number then charge on arrival or the week prior.

  • What if the Rate had changed AUD to USA from when you told the parents what it is.
    If you are quoting to parents for the Stay and Play, you need to use a higher conversion currency and also work out how this charge is done and when.
    Recommend everyone fill out a Travel Authority Letter no matter where they are traveling. (basic letter example can be provided)
